Privacy Policy

What we collect

• Account details: your name and email address, and your password (stored only as a one-way hash by our authentication provider, never in readable form).
• Profile details you choose to add: a public display name, your club and a short bio.
• What you create: training sessions, drill diagrams, coaching points, saved templates, and the comments you write.
• Payment records: when you subscribe, PayFast takes your payment. We receive only the amount, the date, a PayFast reference and your subscription status. We never see or store your card or bank details.
• How you found us: if you joined through a facilitator's invitation link, we record which one, so we can count sign-ups and any commission we owe them. They see totals only, never who you are.
• Activity on the platform: upvotes, shares, duplicates and views of sessions, the notifications that result, and the last time you used the app.
• Technical data: a sign-in cookie that keeps you logged in, and a light/dark theme preference saved in your browser. We do not use advertising cookies. We also use Google Analytics, which you can turn off (see "Analytics and cookies" below).

We do not knowingly collect information from children. SessionPlanner is for coaches; do not enter players' personal details (names, photos, contact or health information) into sessions or comments.

Analytics and cookies

We use two kinds of browser storage: a sign-in cookie that keeps you logged in, and your light/dark theme choice. Both are needed for the site to work.

Google Analytics is on by default, and you can turn it off. Google Analytics (provided by Google LLC) sets cookies and records which pages are visited, roughly where from, and on what kind of device, so we can see what is used and improve it. The first time you visit we show a question; choosing "No thanks" turns it off for you. We send only the page address with any ids and sign-in details removed, never your name, email, session titles or what you build. We do not use it for advertising, and we turn off Google's advertising features. If your browser sends a "Do Not Track" or Global Privacy Control signal we treat that as a no and never start it. Google may process this data outside South Africa.

You can change your mind at any time (also from the page footer). Choosing no stops it and clears its cookies, and we remember your choice on this device.

Cookie settings

How we use it

• To run your account and let you build, save and share sessions.
• To show other coaches the things you choose to publish, and to tell you when someone upvotes, shares or duplicates your work.
• To keep the service secure, prevent abuse and fix problems.

We do not sell your information or use it for advertising.

Who can see what

• Private sessions are visible only to you.
• Published sessions are visible to every signed-in coach, and to anyone who has the session's share link, with no account needed. They show your public display name (or "Coach" plus your first name if you haven't set one).
• Your profile shows your name to other coaches. Your bio, club and stats are shown only if you leave the matching visibility options on in your profile.
• Platform administrators can see all sessions and coach details, including email addresses, to run and moderate the service.

Where it is stored and who processes it

Your information is stored in a database and authentication service provided by Supabase, and the site is served by our hosting provider. Google Analytics processes visit statistics (as described above, and you can turn it off). Payments are processed by PayFast, who receive your name, email address and what you are paying for so they can take the payment. These providers process data on our behalf under their own security and privacy commitments and may store it outside South Africa. We do not share your information with anyone else except where the law requires it.

How long we keep it

We keep your information for as long as you have an account. When you delete your account (Profile, then "Delete account"), your profile, sessions, diagrams, comments and notifications are removed permanently. Copies other coaches made of a session you published are theirs and are not removed. We keep a record of payments you made (amount and date, no longer linked to your name or email) for as long as tax and accounting law requires.

Your choices and rights

• Edit your name, display name, club and bio at any time in Profile.
• Unpublish a session at any time to take it and its share link down.
• Delete your account yourself from Profile, or ask us to access, correct or delete your information.
• If you believe we have handled your information unlawfully you can complain to South Africa's Information Regulator.

Security

Connections are encrypted, access to data is restricted by per-account rules in the database, and passwords are hashed. No online service can promise perfect security, so please use a strong, unique password and tell us promptly if you suspect misuse of your account.

Changes

If we change this policy in a way that matters, we will update the date above and, where appropriate, tell you in the app.
